Role Overview

The Savings Group Administrative Assistant plays a vital role in providing logistical and administrative support to the SG department. This position is essential for ensuring smooth operations, effective coordination, and seamless execution of departmental activities and strategic initiatives.

Primary Responsibilities Include:

  • Calendar management for a wide portfolio of departmental meetings
  • Travel booking and logistics coordination for team retreats and meetings
  • General administrative support and team coordination
  • Project management assistance
  • Event planning and execution

Key Responsibilities

1. Administrative & Logistical Support

Meeting Management

  • Schedule and manage department-wide meetings
  • Maintain team meeting calendars with up-to-date and accurate information
  • Develop meeting agendas and take detailed notes
  • Send follow-up emails and track action items with relevant teams

Calendar & Scheduling

  • Facilitate scheduling and calendar management for the department and Senior Director
  • Provide comprehensive administrative support for scheduling and communications
  • Support team administrative needs across various projects

Team Culture & Coordination

  • Assist team leads in fostering positive team culture
  • Help coordinate team gatherings, retreats, and culture-building opportunities
  • Support internal communication and team engagement initiatives

Strategic Monitoring & Reporting

  • Monitor and report progress on strategic plan goals
  • Manage departmental KPI and network strategic objectives dashboards
  • Document progress on team goals and facilitate reporting to SG leaders
  • Synthesize information to prepare presentations and reports for senior leadership

Financial Administration

  • Complete monthly credit card expense reports for team expenditures in a timely manner
  • Monitor the SG Capacity Accelerator fund
  • Facilitate processing of approvals and communications per fund policy

2. Department Travel Support

  • Arrange travel and assist with visa applications for team members
  • Coordinate with organizational resources (security team, travel insurance vendor) to ensure safe, well-planned travel
  • Support team travelers throughout their journey
  • Coordinate delivery of items to field staff

3. Event Planning

  • Organize logistics and communication for in-person departmental gatherings and events
  • Lead planning and content organization for team meetings (virtual and in-person)
  • Ensure successful execution of all team events

4. Project Management

  • Support leadership in triaging and prioritizing requests for smooth operations
  • Utilize project management software and tools to support high-priority projects
  • Provide administrative support and expertise to SG leadership projects
  • Ensure assigned projects stay on track and are delivered on time with excellence

Education & Experience

Required:

  • Bachelor's Degree in a relevant field such as:

  • Office Administration / Secretarial Studies

Strongly Preferred:

  • Experience managing calendars and schedules
